An outsourced AI team (we call it an embedded AI team) is a standing team of AI strategists, engineers and a delivery lead that works inside your business - your tools, your meetings, your priorities - without you having to recruit them. Instead of a one-off project that ends, you get an ongoing capability that identifies automation opportunities, builds them, and keeps them improving.
Practical automation around your real processes: AI document processing (invoices, forms, compliance paperwork), AI assistants trained on your business knowledge, quote and report generation, system integrations that connect your CRM, job management and accounting platforms, and custom web platforms when off-the-shelf software does not fit.
We work across Australian SMBs and enterprise, with deep experience in construction (including SWMS and site safety paperwork automation), accounting and professional services, and financial services. The patterns transfer well: if your business runs on documents, quotes and repeatable processes, we have likely automated something similar.
Off-the-shelf AI tools make individuals faster at drafting and research, but they cannot see your systems, so they cannot automate your processes. The step-change comes from connecting AI to your actual data and workflows - quotes drafted from your price book, documents posted into your accounting platform, answers from your own job history. That is engineering work, and it is what we do.
Yes - that is usually the whole point. We integrate with the systems you already run (CRMs, job management, accounting platforms, Microsoft 365, Google Workspace and most modern SaaS tools) rather than asking you to replace them. Where a system has no API, we find another reliable way in.
Both. AI automation usually needs real software engineering around it - integrations, dashboards, review workflows - and some problems are best solved with custom software, no AI required. Our software development team builds web platforms, MVPs and data pipelines alongside the AI work.
Indicatively: a scoped automation project (like document processing for one document type) typically runs $10,000-$30,000. Custom platforms and multi-system integrations range $20,000-$80,000+. An embedded AI team engagement is a monthly arrangement, typically around $5,000 per month depending on scope. Every engagement starts with a free consultation so you get a real number before committing to anything.
Three things dominate: how clean your data is (records in spreadsheets and inboxes need a clean-up phase), how many systems we integrate with, and the stakes of an error (workflows touching compliance or payments need more review loops and guardrails). The AI itself is rarely the expensive part.
No long lock-ins. Project work is fixed-scope. Embedded team engagements run month-to-month after an initial term, and everything we build - code, prompts, documentation - is yours, so you are never held hostage by the arrangement.
Monitoring of the systems we have built, fixes when an upstream API or model changes, model and prompt updates as better options become available, and a regular review of performance against the metrics we agreed. Support is included in embedded team engagements and available as a plan after project work.
Yes. After a scoping session we quote pilots and well-defined projects at a fixed price. Where genuine uncertainty exists (usually around data quality), we will say so up front and structure the unknown part as a short paid discovery rather than padding the quote.
With a free consultation: you walk us through how the business runs, we identify where automation pays back fastest, and you get an honest read on what is worth doing - including when the answer is "a $200/month tool already solves this, do not pay us to build it". If we proceed, the first step is a scoped pilot with agreed success metrics.
A first automation is typically live within 4-8 weeks. We deliberately ship the smallest useful version fast, measure it against the baseline we captured at the start, and let those results drive what gets built next.
Discovery (understand the process, capture baseline numbers, agree metrics), then build (short cycles with something visible every week or two), then deployment with your team trained on it, then support (monitoring, refinement, and identifying the next opportunity). You are never waiting months for a big reveal.
You do - fully. Code, prompts, fine-tuned models, documentation: all assigned to you in the contract. If we part ways, everything keeps running and any competent developer can pick it up from our documentation.
Not at all - most of our clients are not. We design for the people who will actually use the system, train your team as part of every deployment, and write documentation in plain English. The whole point of an embedded AI team is that you do not need your own technical department.
Inside the channels you already use - Slack, Teams or email - with a short written update at least weekly and a demo of working software every cycle. You will always know what was done, what is next, and what we need from you.
Wherever possible, in Australian data centres - the major cloud and AI providers we use offer Australian regions, and we default to them. During scoping we map exactly where each piece of your data flows and document it, so you can answer the question as confidently as we can.
No. We use enterprise API agreements with AI providers under which your data is not retained or used for model training. This is contractually different from consumer AI tools, and it is one of the reasons businesses route AI usage through engagements like ours rather than staff pasting data into free chatbots.
We design to the Australian Privacy Principles: data minimisation (the AI sees only what the workflow needs), documented data flows, audit trails on automated decisions, and human review on anything consequential. For regulated industries we work within your existing compliance framework and your advisors.
Only the team members working on your engagement, under written confidentiality obligations, with access removed when they roll off. We are happy to sign your NDA before the first real conversation.
It is returned or destroyed at your direction, and we confirm in writing. Because you own the systems and the IP, the working software and its data stay with you - ending an engagement ends our access, not your capability.
